Managing Subscription Records


With Reporting Tool, you can manage the records of report subscriptions. Specifically, you can view the execution information of a certain subscription and the details of the sent emails, download the sent emails, and resend a certain email.

Prerequisites


  • You need to be assigned the required asset permission and operation permission, and a menu group containing the Subscriptions menu. If not assigned, contact the application administrator.

  • Reporting Tool controls if users are authorized to access and manage a template and its related schedules and subscriptions by assigning report template permissions, so you need to be assigned the required template permissions. If not assigned, contact the template creator. For more information, see Template Permission Control Rules.

Viewing a Subscription Record


  1. Select Subscriptions from the left navigation pane. The subscription list displays all report subscriptions that you have access to.

  2. To locate a target subscription, select a specific subscription status, generation method, and creator/recipient in the filter box, or enter a specific subscription name in the search box.

  3. Click Records record of the target subscription to open the Subscription Record page. The records displayed by default depend on the subscription frequency.

    • For daily subscriptions, records sent within 1 month are displayed by default.

    • For weekly subscriptions, records sent within 10 weeks are displayed by default.

    • For monthly and quarterly subscriptions, records sent within 1 year are displayed by default.

  4. Select the subscription time range or enter an email subject to locate the target record that meets the filter conditions.

  5. View record details in the list such as email subject, generation method, and email sending time.

  6. Click the schedule name in the Related Schedules column. The information of the related schedule is displayed in the pop-up window.

  7. Click Schedule Name in the pop-up window to view the configuration details of the schedule. For more information about schedule configurations, see Viewing Report Schedules.

Downloading a Subscribed Report


  1. Select Subscriptions from the left navigation pane. The subscription list displays all report subscriptions that you have access to.

  2. To locate a target subscription, select a specific subscription status, generation method, and creator/recipient in the filter box, or enter a specific subscription name in the search box.

  3. Click Records record of the target subscription to open the Subscription Record page.

  4. Select the subscription time range or enter an email subject to locate the target record that meets the filter conditions.

  5. Click Download download of the target record to download the sent report.

Resending a Subscribed Report


  1. Select Subscriptions from the left navigation pane. The subscription list displays all report subscriptions that you have access to.

  2. To locate a target subscription, select a specific subscription status, generation method, and creator/recipient in the filter box, or enter a specific subscription name in the search box.

  3. Click Records record of the target subscription to open the Subscription Record page.

  4. Select the subscription time range or enter an email subject to locate the target record that meets the filter conditions.

  5. Click Resend rerun of the target record. The subscription is re-executed and a new email is sent to designated recipients.
